Who we are
Coachfront provides booking software to fitness businesses ("studios"). When you book with a studio, that studio is the data controller for your details and Coachfront processes them on its behalf.
What we collect
- Your name, email and (optionally) phone number, so the studio can confirm and remind you about bookings.
- Your bookings, passes and payments with the studio, and family members you book for.
- Waiver acceptance and anything you tell the studio in answer to booking questions.
- If the studio uses a health questionnaire, your answers. These are health information, so only the studio's staff see them, and you can update them from your account or ask the studio to erase them.
- Notes the studio's trainers keep about your sessions. These are never shown on your booking pages but are included if you ask the studio for your data.
- A copy of the emails and texts the studio sends you, so they can check whether something reached you.
- Private codes and links made for you: the door pass code for checking in, the address of your calendar feed, and one-time sign-in links and codes.
Card details are handled by Stripe and never stored by us. We don't use advertising or tracking cookies.
How long we keep it
- Sign-in links and codes stop working after 30 minutes and are deleted within a week.
- Signed-in sessions end after 90 days without use.
- The text of emails sent to you is deleted after 18 months; the subject, date and whether it was sent are kept.
- Check-ins a studio's staff tap while their phone has no signal are kept on that phone only until they're sent, usually a few minutes.
- Everything else is kept while you're a client of the studio, until you or the studio ask for it to be erased. Payment records are kept as accounting law requires.
How it's used
To run your bookings, send confirmations and reminders, and, only if you opt in, news and offers from the studio.
Your rights
You can download your data from your account page at any time, and ask the studio to correct or erase it. Payment records may be kept as required for accounting.
Where it's stored
Data is stored with UK/EU hosting providers under data processing agreements.
