Booking software for pilates studios: what to look for
6 min read · Updated 8 October 2026
Pilates studios run small classes, often on a fixed number of reformers. Look for booking software that fills the gaps when people cancel and shows your rules before anyone books.
Let clients pick their reformer
If your machines differ, or clients have a favourite spot, let them choose a numbered reformer when they book. In Coachfront, turn on spot picking for the class; their usual spot is picked for them when it's free.
Fill every cancelled space
With six to ten spaces, one late cancellation is a big share of the class. A waitlist that books the next person in automatically, or offers them the space for a set time, keeps classes full without you sending messages.
Make late cancels fair and clear
- Pick a window, for example 12 hours, and show it before people book and in every confirmation.
- Pack holders lose the session if they cancel late; members can pay a small late-cancel or no-show fee.
- Take a register, so no-shows are recorded and the fee is applied.
Price for regulars
- An intro offer for new clients, such as 3 classes for £30, to get them through the first few sessions.
- Packs of 5 and 10 with a generous expiry.
- A membership with a set number of classes a month, so reformer spaces don't all go to unlimited members.
A capped membership (say 8 a month) suits reformer studios better than unlimited, because spaces are limited.
Quick answers
- Can clients choose a specific reformer?
- Yes, with spot picking turned on for the class, clients pick a numbered spot when they book.
- How do I stop people booking and not turning up?
- Set a cancellation window, take a register so no-shows are recorded, and add a no-show fee for members if you want one.
