Late cancellation policy for personal trainers, with templates
7 min read · Updated 18 October 2026
A late cancellation costs you an hour you can rarely resell. Tell clients the policy before they pay, and apply it the same way every time.
Work out what late cancels cost you now
Count last month's late cancellations. Two a week at £45 a session is £90 a week, which over 46 working weeks comes to £4,140 a year.
Choose the notice period
- 24 hours: many PTs use it, and clients know it from physios and salons.
- 12 hours suits clients with unpredictable shifts. For a 7am session, cancelling by 7pm the evening before counts as on time.
- 48 hours makes sense only if you can realistically refill the slot with that much warning.
Pick one period for everyone, and make any exceptions case by case.
Decide what happens to a late cancel
Best for
- Session comes off the pack
- Clients on packs or monthly plans
- Fee charged
- Pay-as-you-go clients
How it feels to the client
- Session comes off the pack
- Simple, nothing new to pay
- Fee charged
- A separate charge to settle
What you need
- Session comes off the pack
- An accurate count of sessions left
- Fee charged
- A card on file or a pay link
Amount
- Session comes off the pack
- One session
- Fee charged
- 50% to 100% of the session price
You can use both: packs lose the session, pay-as-you-go clients pay a fee.
Allow for real emergencies
Illness or a sick child will happen. You could allow one free late cancel every three months, at your discretion. You can also offer to move the session to another time that same week, so you keep the hour.
Wording you can copy
- Policy: "Sessions cancelled or moved with at least 24 hours' notice are free to rebook. Inside 24 hours, the session is counted as used. If you're unwell, tell me as early as you can and I'll do my best to move you within the same week."
- Reminder the day before: "See you tomorrow at 7am. If you need to move it, let me know by 7am today and it's no problem."
- After a late cancel: "No worries, hope all's OK. As it's inside 24 hours that one comes off your pack, so you've got 4 sessions left. Same time next week?"
Apply it every time
Put the policy in your welcome message and on your booking page, and have the client agree to it when they buy a pack. Apply it the same way every time. Coachfront counts sessions left for you.
Quick answers
- Is 24 hours a fair cancellation window for personal training?
- Yes. Many PTs use it for 1:1 sessions. 12 hours can suit clients with shift work.
- Should a late cancel come off a session pack?
- For clients on packs, yes. It's simpler than a separate fee, as long as the policy was agreed before they bought the pack.
- Can I charge a fee for a late cancellation?
- You can, if the client agreed to the policy in advance. For pay-as-you-go clients, charge 50% to 100% of the session price.
