How to track PT session packs and sessions left

6 min read · Updated 18 October 2026

Pack disputes often start when the client thinks they have three sessions left and you think they have one. Good records settle it, and both of you can see when the pack is nearly used.

What to record for every pack

  • Client name and how to reach them
  • Pack size and the price paid
  • Date bought, date paid and how they paid
  • Expiry date, if the pack has one
  • Every session against it: date, and whether they came, late cancelled or didn't show
  • Sessions left, worked out from the above

A spreadsheet layout that works

Client

Example
Sam Taylor

Pack

Example
10 sessions, £420, paid by transfer 2 Sept

Expires

Example
2 Jan

Sessions

Example
3 Sept came, 10 Sept came, 17 Sept late cancel, 24 Sept came

Used / left

Example
4 used, 6 left

One row per pack. When a client buys a new pack, start a new row so the history stays clear.

Tell the client after every session

A one-line message after each session stops surprises: "Good work today. That's 4 of 10 done, 6 left." When they reach two left, mention it again.

Set a fair expiry

An expiry date stops packs hanging around for a year. For weekly clients, allow about 50% longer than the pack would take: a 10-session pack at one session a week expires after 15 weeks. Remind the client a couple of weeks before it runs out.

When a spreadsheet stops working

  • You update it from your phone between sessions and forget a row
  • Clients ask how many they have left and you have to check
  • You're also tracking who has paid in a separate list
  • You have more than about 10 clients on packs

If two or more of these sound familiar, move the counting into software that books and counts in the same place. Coachfront takes a session off the pack when it's logged and shows the client what's left on their phone.

Quick answers

How do personal trainers keep track of sessions?
Record each pack with its size, price, payment and expiry, then mark every session against it as attended, late cancelled or no-show. Sessions left is pack size minus sessions used.
Should PT packs expire?
Usually yes. About 50% longer than the pack would take at the client's normal pace is fair, for example 15 weeks for 10 weekly sessions.
Do late cancellations count as a session used?
If your policy says so, yes. Record them separately from attended sessions so you can see the pattern.
